Quality and confidentiality
What we do today, stated plainly.
This page describes only what is true now. Where something is a commitment in our terms, we say which clause.
Quality
Anchored to the approved label. For every medicine in your material, we work from the official approved product information (the SmPC) in English and in the target language. Wording that touches the label follows the official text in that language, word for word.
The most authoritative wording wins. When a sentence already has an approved translation, in the label or in material your client approved before, that version is used ahead of a fresh translation.
The source is checked too. Before translating, we check your English source against the label and for statements that contradict each other, and we check that each citation is complete and matches a real, unretracted source. You get those issues in a report, ordered by severity.
Checks that stop a broken file. A job cannot move on until every piece of text has a translation, the translation is visible on the slide, and no visible slide is left in English. The process is version-tracked and backed up, so there is a trail behind every deliverable.
Layout reviewed by a person. Every slide is rendered and checked for translated text that no longer fits. Layout problems go to a layout specialist, who fixes the layout without touching the words.
Signed off by a linguist. A linguist reviews and edits the translation in the finished file. Open questions are resolved with you rather than guessed.
A memory of what your client approved. We keep a translation memory for each client, and we add to it only from the version your client approved, never from a draft.
Corrections. If you find an error within 10 business days of delivery, we correct accepted errors free of charge. If an error in our translation concerns dosage, contraindications, adverse events, warnings, patient safety or regulatory status, we correct it free of charge whenever it is raised within 12 months of delivery (Terms of service, clause 10).
Confidentiality
Your source files are often unapproved promotional material. We treat them that way.
- Bound in writing first. Every linguist or other subcontractor is bound in writing to confidentiality and data-protection obligations at least as protective as ours before they receive any of your files, and we remain responsible for their work (clause 3.3).
- No AI training. Nothing in our terms permits us to use your material to train an artificial-intelligence model (clause 2.1, Linguistic Assets).
- Software under its providers’ terms. Where we use software tools, including AI-assisted translation tools, they run under their providers’ own processing terms, and we list the sub-processors we use. The list is available on request and before your first order (clause 3.3, Schedule 4).
- Personal data kept to a minimum. Tell us before sending anything containing health data or other special-category data, and send only what the translation needs. Our data processing terms are supplied before any order that involves personal data (clause 6.4, Schedule 3).
- Invisible to your client. We work behind you, under your name.
- Your client’s restrictions. If your client imposes restrictions on confidentiality, retention or use of materials, tell us before the order. We confirm in writing which we accept (clause 6.6).
